Title: GRIEVANCE PROCEDURES

Member to Member
Where an incident occurs between 2 members of the charity this shall be deemed a personal matter between the 2 parties concerned who are expected to resolve the matter. There should be no involvement of the charity.

Member with Charity
Where a member considers that some action or incident caused by the charity occurs, that they believe gives them grounds for a grievance directly with the charity, he / she should put in writing the nature of the grievance with the charity and send the letter to the Secretary.

It will be the member's right, should they request it, to personally attend a meeting of the full Executive Committee or a Sub Committee of 3 Trustees appointed by the Executive Committee with a friend / supporter to put their case in person.

All such grievances will initially be considered at a meeting of the Executive Committee following receipt of the letter, without the attendance of the member, to fully understand the circumstances and nature of the grievance.

At a subsequent meeting of the Executive Committee, the member (with their friend / supporter) will be invited to put their case personally, should they so wish. The secretary will notify the member of the date of the meeting.

Notes of the discussions and decisions taken will be formally recorded as part of the meeting minutes.
In addition, a letter determining the grievance will be sent to the member concerned following the meeting.

Charity with Member
This procedure applies to ordinary members. The Constitution covers the situation with regard to officers and other Trustees.

Where a member is found to be acting against the aims of the charity, or commits an act that is detrimental to the charity or is deliberately obstructive or such other cause which leads to a loss of support and respect from other members or of the Executive Committee, notification of such concern should be formally recorded at a meeting of the Executive Committee and a letter advising the member of such concerns should be sent to the member.

It will be the member's right, should they request it, to personally attend a meeting of the Executive Committee with a friend / supporter to put their case in person prior to the Executive Committee considering any decision to terminate membership. Similarly, the Executive Committee will have the right to request a member to personally attend a meeting of the Executive Committee to explain their actions.

Should the Executive Committee consider that the member is still continuing with their actions that are detrimental to the charity, or that the initial action(s) were of such severity, the Executive Committee have the right to withdraw membership from the member concerned.

A decision to terminate membership shall be determined by a majority vote in a ballot of members at a meeting of the Executive Committee and recorded in the minutes of the meeting as well as formal notification being sent to the member concerned.
