Faxing with Windows

 

 

Windows95 comes with it's own fax software, Microsoft Fax.

NOTE: Windows 98 and Windows NT4 Server did not have Microsoft Fax, so users have to use fax software from other sources. SuperVoice or BitWare can be used on a stand-alone PC, but these programs do not provide for sharing the fax across a local network. Microsoft in the UK use ZETA Fax on their NT machines for this purpose. Windows 2000 may prove different however, look out for fax software in this/for this.

 

In Windows95 in addition to Microsoft Fax, you can still use other fax software such as those described above, however you cannot use these in conjunction with Microsoft Fax. (fax software holds open the FaxModem and thus if one package has it, the other one can't).

Using Microsoft Fax in Win95, or WinFax, Supervoice, BitWare…etc you can fax from any document or spreadsheet etc., simply by using File, Print and changing the printer to Microsoft Fax.

To receive a fax, simply start your Fax Software.

If you are using WinFax, Supervoice, Bitfax or another 3rd party software then skip to How to Send a Fax.

If you are still using the old Win 95, go to Microsoft Exchange (double click the Inbox shortcut on your desktop).

If you can't open exchange because it asks for a Workgroup Postoffice, then:

How to send a fax

 

There are 2 types of faxes that can be sent:

 

1. Faxing just a cover page (with the option to fax a document). See Cover Page

2. Faxing a document (with the option to fax a cover page)

 

Faxing a Document

Assuming you have a Word document, or an Excel Sheet, or an Access Report ..etc. on screen

Then you can fax it directly from where you are - by printing it.

 

Printing It ??????

Yes printing it, because a document to be faxed, is faxed in the same way as a document is printed.

It therefore makes sense to have printing and faxing in the File, Print portion of the applications menu.

 

Choose File, Print and then in the Printer window, click the down arrow and select Microsoft Fax or your Fax Software Printer Name eg: Pic Win95 Fax Printer (if using Supervoice)…etc. After this make all the choices you normally would for printing, no of pages, copies..etc. Finally click the OK button.

 

After a moment or two, the Compose New Fax window will appear where you will enter a name and fax number or take a name from your address book and proceed with the Fax Wizard to send the fax. See Cover Page below for the complete routine on this.

 

 

Cover Page

Supervoice, Bitware, Winfax….and other 3rd party users:

A cover page can be send with or without an attached file, and consists of a subject heading and up to a page of text.

In 3rd party software, you will see the cover page option within the main screen, or sub-screen of the software and ways to check for successfully sent faxes, re-send faxes, schedule faxes for later transmission, print faxes…etc.

Refer to the Help menu of your fax software.

 

 

 

The remainder of this page deals with Win95 Microsoft Fax only.

 

 

For Win95 ver1 users

To do this ( if you are already faxing a document from an application or have used Compose New Fax from Inbox, or Outlook, then skip this because the Compose New Fax wizard will already have been started):

 

 

A new Window will appear. (If this window is NOT the one shown below but one which has a box for ' not showing the window again', then click the box against that comment, and the window below will appear after that.)

 

 

 

At this point you can place a name and fax number of the recipient (the person you are sending the fax to) in the To: and Fax # windows and then click the 'Add to List' button to add it to the Recipients List. Finally you click the Next button to continue with the process --- However you really need to know more before proceeding.

Address Book

To avoid having to continually type fax numbers in the Fax # window, you have the number(s) automatically added to that window and the Recipients List.

 

Getting/Adding Fax Numbers from/to the Address book

Click the Address Book button.

 

 

Note 'Fax' under the Heading Microsoft Fax, click 'Fax' then click OK

The new fax properties window, similar to the one shown under, will allow you to place the details for a new recipient and add this to the address book. It will also re-direct you back to the Compose New window where the name will automatically be added to the Recipients List section.

Fill in the details. The 'Name to be shown on cover page' will be the recipients name, to display in the fax and in your list

Take care to put the correct code in the code window, and the rest of the number in the larger window.

Addition information for your benefit only, can be added using the other tabs displayed.

Finally, click the Add to: To: button

 

You will now be return to the Compose New Fax window with the recipient added:

 

Note: By using the Address Book button you can return to the Address Book to add further recipients to the list. Click the Next button to continue

The next window asks if you want a COVER PAGE. If you are faxing from an application such as Word (faxing a document) then the item you are faxing may contain all the information you may need and therefore a cover page is superfluous, in this case click on the No radio button then click Next. (See Faxing a Document)

 

The list shown will place that name at the head of the fax e.g. Confidential ...etc (Generic will place FAX at the top of the page). Select a header and click next.

Note: By clicking the Back button, you can always return to the previous window if you have made a mistake

 

To display what the main topic of the fax is, place a subject in the Subject window.

Now type your page text into the large window below this, when done click the Next button.

Option to add a file with the cover page

If you are faxing from a application (e.g. Word, then you already have a file to send), however at this point in sending a cover page you may decide that you want to send a file but have not starting Microsoft Fax from the application.. no worries you can add the file now.

If you want to do this click the Add File button and browse to find the file and once added, click Next.

If you want to continue to send a cover page only, just click Next

 

Note: By clicking the Back button, you can always return to the previous window if you have made a mistake

The last window lets you send the fax (click Finish), cancel the whole operation (click Cancel), or go back to the previous steps - right back to the beginning if necessary (click Back).
